Terms & Conditions
1. General Information
This website and our services are operated by Glamagency Pty Ltd (ABN 96 682 351 935).
Throughout these Terms & Conditions, the terms “Glamagency”, “we”, “us” and “our” refer to Glamagency Pty Ltd.
By making or confirming a booking, paying a booking deposit, providing card details to secure an appointment, or using our services, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
2. Our Services
Glamagency provides professional hair and makeup services, including:
- Bridal hair and makeup
- Bridal party hair and makeup
- Bridal trials
- Event and special occasion styling
- Editorial and social styling
- Studio appointments
- Mobile and on-location services
Services, pricing, timing and artist requirements will be confirmed through your booking confirmation, quote or invoice.
3. Booking Confirmation, Deposits & Card-Secured Bookings
Depending on how your appointment is booked, your booking may be secured by either a 25% booking deposit or a valid payment card.
Bookings Secured With a Deposit
For bookings made via a personalised quote, invoice or payment link, a 25% non-refundable booking deposit may be required to secure your date, time and artist/team.
Your booking is not confirmed until the required deposit has been received and written confirmation has been issued by Glamagency.
The deposit forms part of the total booking amount and will be deducted from your final balance.
The 25% booking deposit is non-refundable in the event of a client cancellation, except where otherwise required by Australian Consumer Law.
Bookings Secured With a Card
Bookings made directly through our online booking system may be secured using a valid credit or debit card instead of requiring an upfront deposit.
Where no payment is taken at the time of booking, the card is used to secure the appointment and may be charged in accordance with our cancellation and no-show policy.
By providing your card details and confirming your appointment, you authorise Glamagency to apply the applicable cancellation or no-show fee where the terms of this policy are met.
A booking is considered confirmed once you receive confirmation from Glamagency or our booking platform.
4. Final Payment
For bookings where a balance remains outstanding, payment must be made by the due date stated on your invoice or booking confirmation.
If payment is not received by the due date, Glamagency reserves the right to release the booking, date and assigned artist(s), subject to applicable consumer law.
Any deposit already paid will remain subject to our cancellation terms.
Additional services or changes requested after the original booking may be invoiced separately.
5. Cancellations
We understand that plans can change. However, once your booking is confirmed, your appointment time and, where applicable, one or more artists are reserved specifically for you. This may prevent us from accepting other bookings for that date and time.
For this reason, the following cancellation policy applies.
More Than 30 Days Before Your Booking
If you have paid a 25% booking deposit, the deposit remains non-refundable in the event of a client cancellation.
Any additional amounts paid above the deposit may be refunded, less any services already provided and non-refundable third-party transaction fees where permitted by law.
If your appointment was secured by card and no deposit was paid, no cancellation fee will ordinarily be charged where more than 30 days' notice is provided.
Within 30 Days of Your Booking
A cancellation fee equivalent to 25% of the confirmed booking value applies.
If you have already paid a 25% booking deposit, your deposit will be retained and you will not be charged an additional 25% cancellation fee.
If your booking was secured by card and no deposit was paid upfront, Glamagency may charge the applicable 25% cancellation fee to the payment method used to secure the appointment.
Within 14 Days of Your Booking
For cancellations made within 14 days of the scheduled booking, up to the full confirmed booking amount may be payable, taking into account the services, artist time and resources reserved for the booking and our ability to reasonably mitigate the loss.
Any amounts already paid will be applied towards the applicable cancellation amount.
Same-Day Cancellations & No-Shows
Same-day cancellations and failure to attend a confirmed appointment may result in the full booking amount being charged.
All cancellations must be made in writing.
Where a card has been provided to secure an appointment, applicable cancellation or no-show fees may be charged to that payment method in accordance with the cancellation policy accepted at the time of booking.
Nothing in this cancellation policy limits any rights or remedies available to you under Australian Consumer Law.
6. Rescheduling & Date Changes
We understand that wedding and event plans can occasionally change.
Requests to reschedule must be made in writing and are subject to availability.
Where we are able to accommodate your new date, your existing booking deposit may be transferred to the new date at Glamagency's discretion.
One date change may be permitted per booking. Additional date changes may require a new booking deposit.
If your originally allocated artist is unavailable for the new date, Glamagency may offer another suitable artist from our team.
If Glamagency is unable to accommodate the requested new date, the booking will be treated as a cancellation and the applicable cancellation terms will apply.
Pricing may be adjusted where the new date, location, services, travel requirements or other booking circumstances differ from the original booking.
7. Changes to Services & Bridal Party Numbers
Your booking is accepted based on the number and type of services included in your confirmed quote or appointment.
Once your booking has been confirmed, reducing the number of people or services does not automatically reduce the total booking value.
Any reduction is subject to Glamagency's approval and applicable minimum booking requirements.
Where services are removed close to the event date or after artists have already been allocated, the original confirmed booking value may remain applicable where reasonably necessary to account for the artist time and resources reserved for your booking.
Additional services may be added subject to artist availability and will be charged at the applicable rate.
8. Bridal Trials
Bridal trials are separate appointments and are subject to availability.
Trial fees are non-refundable once the trial appointment has taken place.
Trials are designed to discuss, create and refine your desired bridal look before your wedding day.
We encourage clients to bring or send inspiration images before their trial and communicate any desired adjustments during or following the appointment.
If you decide to significantly change your desired look following your trial, an additional trial may be recommended and will be charged separately.
Completing a bridal trial does not alter the cancellation terms applicable to your wedding-day booking.
9. Artist Allocation & Changes
Glamagency operates as a professional hair and makeup agency and carefully allocates artists based on availability, location, services required, timing and the needs of each booking.
Where a specific artist has been requested, we will make every reasonable effort to retain that artist.
However, in the event of illness, emergency, unforeseen circumstances or artist unavailability, Glamagency reserves the right to arrange a suitably qualified replacement artist.
Where an appropriate replacement artist is provided and the agreed services can still be delivered, a change of artist does not automatically constitute cancellation of the booking.
If Glamagency is unable to provide the confirmed service or a reasonable alternative, we will work with you to provide an appropriate remedy in accordance with Australian Consumer Law.
10. Timing & Client Readiness
Clients and all members of the booking party must be ready to begin their services at their allocated appointment time.
For mobile bookings, please ensure the artists have access to the service location and an appropriate workspace at the agreed start time.
Late arrivals may result in reduced service time or adjustments to the schedule to ensure the bridal party or client is completed as close as reasonably possible to the agreed ready time.
Where delays caused by the client, bridal party or other parties require our artists to remain beyond the scheduled booking time, additional charges may apply.
Glamagency cannot guarantee the originally agreed completion time where delays are outside our reasonable control.
11. Travel & Parking
Travel fees may apply to mobile and on-location services and will be confirmed as part of your quote or booking.
As a general guide:
Within 30 km of Melbourne CBD: travel fees start from $60 per artist.
Beyond 30 km from Melbourne CBD: additional travel charges may apply depending on distance, travel time, location and the number of artists required.
Regional, interstate and destination bookings may also incur additional charges including flights, accommodation, transfers, tolls or other reasonable travel expenses.
Parking, valet and venue access costs are the responsibility of the client.
Where possible, suitable parking should be arranged close to the service location, particularly where artists are required to transport professional kits and equipment.
If your service address changes after your booking has been confirmed, your travel fee may be recalculated accordingly.
12. Early Starts & Additional Charges
Additional fees may apply where your booking requires:
- Early morning commencement
- Additional artists
- Extended waiting time
- Parking or tolls
- Regional or interstate travel
- Accommodation
- Public holiday services
- Additional or last-minute services
- Significant changes to the confirmed schedule or location
Any applicable fees will be communicated wherever reasonably possible before the service.
13. Client Responsibilities
To allow our artists to provide the best possible service, clients are responsible for:
- Providing accurate booking and contact information.
- Being ready at the agreed appointment time.
- Providing a clean and suitable workspace with adequate lighting and access to power where required.
- Advising Glamagency of allergies, sensitivities or relevant skin conditions before services commence.
- Following any hair or skin preparation instructions provided by Glamagency or the assigned artist.
- Ensuring members of the booking party are aware of their allocated service times.
- Obtaining any necessary permission for our artists to access the venue or service location.
14. Allergies, Sensitivities & Hygiene
Our artists maintain professional hygiene and sanitation standards and take reasonable care when selecting and applying cosmetic and hair products.
Clients are responsible for informing us of any known allergies, sensitivities, skin conditions or previous reactions before services commence.
Where a client has known sensitivities, we may recommend a patch test or request that the client provide a product that they know is suitable for them.
To the extent permitted by law, Glamagency is not responsible for reactions arising from allergies or sensitivities that were not disclosed before the service.
Nothing in these Terms & Conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot legally be excluded under Australian Consumer Law.
15. Photography & Promotional Use
We love showcasing the beautiful work created by our artists.
With your consent, photographs and videos taken by our team, or professional images subsequently shared with us, may be used for our website, portfolio, social media, advertising and other Glamagency marketing purposes.
If you prefer that your images are not used for marketing purposes, please notify us in writing before your event.
16. Circumstances Beyond Our Control
Glamagency will make every reasonable effort to fulfil all confirmed bookings.
Where a booking is affected by circumstances outside our reasonable control, including illness, emergencies, severe weather, transport disruption, road closures, venue restrictions or other unforeseen circumstances, we will make reasonable efforts to find an appropriate solution.
This may include adjusting the schedule, arranging another suitably qualified artist or rescheduling where appropriate.
Nothing in this section limits your rights under Australian Consumer Law.
17. Payment Processing
Payments may be processed through third-party payment providers, including Square.
Any applicable processing or transaction fees will be handled in accordance with the payment provider's terms and applicable Australian law.
Where a card has been provided to secure an appointment, it may be used to process an applicable cancellation or no-show fee in accordance with the cancellation policy accepted at the time of booking.
18. Intellectual Property
Unless otherwise stated, original website content, branding, written materials, graphics and imagery owned by Glamagency remain the intellectual property of Glamagency Pty Ltd.
Our content may not be reproduced or used commercially without prior written permission.
19. Australian Consumer Law
Nothing contained in these Terms & Conditions is intended to exclude, restrict or modify any rights, guarantees or remedies that cannot legally be excluded under the Australian Consumer Law.
Where these Terms & Conditions are inconsistent with a mandatory right or guarantee under Australian law, that mandatory right or guarantee will apply.
20. Governing Law
These Terms & Conditions are governed by the laws of Victoria, Australia.
